Privacy Policy
Minding My Books is committed to protecting the privacy of our clients and visitors. This privacy statement explains how we collect, use, disclose, and retain personal information in the course of providing QuickBooks-related services to Canadian small and medium-sized businesses.
If you have questions or concerns about this policy, please contact our Privacy Officer at privacy@mindingmybooks.ca.
A) Information Collection
Minding My Books collects personal information necessary to deliver our services. We collect information at various points on our web properties, including https://www.mindingmybooks.ca.
1) Registration
To use certain services or access restricted areas of our site, you may need to register. Registration details typically include name, business name, telephone number, and email address. Providing demographic information (industry, company size, province) is optional but helps us tailor services to Canadian businesses.
2) Orders and Billing
When you purchase products or services, we collect contact and billing information (name, billing address, email) and payment information. Payment processing is performed through secure third-party processors; Minding My Books does not retain raw card numbers on our servers.
3) Profile
We may build a profile from site activity and transaction history to personalise our services and marketing. Personal profile elements are never sold to third parties; aggregated, anonymized data may be shared with partners for analytics and service improvement.
4) Cookies and Tracking
We use cookies, session identifiers, and similar technologies to improve site functionality, remember preferences, and enable secure logins. You can control cookie settings through your browser, though disabling cookies may reduce site functionality.
5) Log Files and Analytics
Our servers collect non-identifying information such as IP addresses, browser type, and pages visited to help analyse trends and administer the site. IP addresses and log data are used only in aggregate and are not linked to personal profiles except as required for security or legal reasons.
6) Clear GIFs / Pixel Tags
We may use tracking pixels in emails to measure delivery and open rates. If you prefer not to be tracked by email pixels, follow the opt-out instructions included in our marketing emails.
7) Children’s Privacy
Our services are not intended for children under the age of 13. We do not knowingly collect personal information from children. If we become aware of such a collection, we will delete the information promptly.
B) How We Use and Share Information
We use personal information to provide and improve services, for billing, customer support, and to comply with legal and regulatory requirements (including Canadian tax and record-keeping obligations).
1) Communications
a) News, Offers, and Updates
With your consent, we may send information about products, updates, and promotions relevant to Canadian businesses. You can opt out of marketing communications at any time via the unsubscribe link or by contacting privacy@mindingmybooks.ca.
b) Transactional Emails
We will send emails necessary for transactions (invoices, order confirmations, service announcements). These messages are essential to service delivery and cannot be opted out of unless you close your account.
c) Customer Support
We communicate by email or phone to respond to enquiries, provide support, and fulfil service requests.
2) Sharing
a) Legal Requirements
We may disclose personal information if required by law, a court order, or to respond to lawful requests by public authorities (including to meet national security or law enforcement requirements).
b) Service Providers
We use trusted third-party service providers (payment processors, hosting, analytics) to support our operations. These providers are contractually obligated to protect your information and use it only for the services they provide to us.
c) Business Transitions
If Minding My Books is involved in a merger, acquisition, or sale of assets, personal information may be transferred as part of that transaction. We will notify affected users where required and provide choices regarding the continued use of their information.
C) Choice and Opt-Out
You may opt out of promotional communications at any time. Transactional, billing, and service-related messages are required for account management and will continue unless you deactivate your account.
D) Links to Other Sites
Our site contains links to third-party websites. This privacy policy applies only to information collected by Minding My Books. We encourage you to review the privacy practices of any site you visit from our site.
E) Safeguards and Data Retention
1) Security
We implement administrative, technical, and physical safeguards to protect personal information. Sensitive data transmitted to us is encrypted using industry-standard SSL/TLS. Access to personal data is limited to employees and contractors who need it to perform their job functions.
2) Message Retention
We retain messages and transactional records for a limited period necessary for business operations, typically up to 365 days for transient messages unless otherwise required by law or for accounting purposes.
3) Data Retention Periods
Retention periods vary by the type of information and legal or operational needs. Where retention is required by law (e.g., tax records), we will retain information for the legally required period. Otherwise, we retain personal information only as long as necessary for the purposes collected.
F) Supplementation of Information
To better serve our clients, we may augment our records with information from publicly available sources or trusted third-party providers (for example, to verify a business address). Supplementary information is used consistently with this privacy policy.
G) Access, Correction, and Deletion
You may request access to, correction of, or deletion of your personal information. Please contact privacy@mindingmybooks.ca with details of your request. We will respond in accordance with applicable Canadian privacy laws (such as PIPEDA) and our verification procedures.
H) Notification of Changes
We may update this privacy policy from time to time. When material changes occur, we will post the updated policy on this page and, when appropriate, notify users by email. The date at the top of this page indicates when the policy was last revised.
